Office 2010 bids to reduce time-wasting emails

Post-holiday email backlogs and unwanted CC list inclusions are just two frustrations that could be consigned to history when Office 2010 is released next year.

In a press release, Microsoft has revealed how its new generation of unified communications software will help improve user productivity with a raft of new features designed to create “the ultimate inbox experience”.

The software giant has already unveiled a public beta of Exchange 2010, which is due for release in the second half of 2009, and has confirmed that additional Office products are scheduled to enter technical preview in the third quarter of 2009 before being released to manufacturing in 2010.

"Exchange 2010 ushers in the next generation of Microsoft unified communications software."

Rajesh Jha, VP of Exchange, Microsoft

It is predicted that the future combination of Exchange 2010 and Office 2010 will enable users to lower communication costs and raise productivity by reducing the average number of emails they receive per day.

Microsoft’s new time-saving features will include:

MailTips

Warning messages to users before they commit to send an email to large distribution groups, recipients who are away from the office or addresses outside the organisation. This feature is designed to protect against confidential data leakage and the creation of unnecessary email messages.

Ignore Conversation

This is an “email mute button” designed to let users opt out of irrelevant email strings where the participants are continually “replying to all."

Conversation View

A new view to combine all related messages in a single conversation with the aim of reducing clutter in the Inbox.

Exchange 2010 will also include innovative new communications features such as the ability to preview voice messages as text in Outlook and call answering rules such as “press 1 for…” which can be used to customise call-routing menus with Exchange voicemail. The program will also help protect user information and meet compliance regulations with new email archive functionality.

Rajesh Jha, corporate vice president of Exchange at Microsoft, said: “Exchange 2010 ushers in the next generation of Microsoft unified communications software as the first server designed from inception to work both on-premises and as an online service. This release raises the bar with new archiving and end-user innovations that will help companies save money and employees save time."
